General Position Description:
The Proposal Coordinator will lead the Proposals, Pre-Qualifications, etc. within the Oil, Gas & Chemical Market from beginning to end.  Main duties include reviewing bid instructions and requirements, collecting data and materials from multiple departments, significant editing, formatting and assembling proposals according to client’s requirements, and ensuring submittal prior to deadline.
Position Responsibilities:
  • Download and review Requests for Information/Qualifications/Proposals (RFI/RFQ/RFP), as well as project award nominations and other misc. requests.
  • Prepare responsibility matrix outlining the RFI/RFQ/RFP, etc. submittal requirements and coordinate kickoff meeting to review matrix with team.
  • Manage the RFI/RFQ/RFP, etc. development schedule to ensure timely and compliant submissions.
  • Review written drafts to ensure compliance with all RFI/RFQ/RFP requirements, and analyze how well a draft follows an outline, communicates themes and conveys a message. Advise team on writing style and terminology used in materials to improve the overall quality and effectiveness of communications. Creatively adjust pre-written standard content to fit the market, client and project.
  • Work with various team members to collect, edit and strategically write resumes, project profiles and other materials.
  • Communicate with prospective and current clients by phone and email.
  • Perform internet research to gain understanding of client and potential clients.
  • Work with a variety of team members to support day-to-day business development and estimating efforts.
  • Assist with additional projects, including the development and maintenance of corporate/company-wide documentation.
Qualifications / Requirements:
  • Bachelor’s degree in Business, Marketing, Communications, Journalism, English, or related field or equivalent experience to include at least two years in a fast-paced environment.
  • This position demands excellent writing and editing skills, with a superb attention to detail and commitment to producing high-quality submissions.
  • Must be able to multi-task and adapt quickly to fast paced environments, as well as prioritize and manage various tasks and deadlines.
  • Must possess and demonstrate excellent communication skills with a professional demeanor and a collaborative attitude.
  • Flexibility to work extended hours to accommodate client deadlines.
  • Must be able to work on his/her own and on a team, with minimum supervision.
  • Proficiency in Adobe Acrobat, Microsoft Office Suite, including Word, Excel, PowerPoint and Visio.
